Similar to many SAP customers, the large automobile bank has been operating a dispositive SAP system productively for over ten years. The bank uses our data reduction framework for the initial and regular deletion of customer and business data - and thus meets all requirements of the EU-DSGVO. Archiving and deleting data in productive SAP systems is particularly critical, since consistency must not be destroyed under any circumstances. All actions must be logged in a traceable and audit-proof manner. In addition, there must of course be clarity about any retention periods on the departmental side that conflict with a planned deletion.

The challenge in the initial data cleansing of the SAP system was on the one hand the large amount of data and on the other hand the high technical complexity of the underlying data model. At this automotive bank, we were dealing with a HANA-based SAP Bank Analyzer system that contains a uniform, central database for the main bank management disciplines. Starting with the consistent deletion of the relevant business partner data, the associated contract and transaction data had to be deleted. Top priority was given to maintaining data consistency and the unrestricted operability of existing processing chains of the various banking calculation kernels on the SAP Bank Analyzer platform and the interaction with the downstream reporting functions based on SAP BW.

Our iterative process model is perfectly supported by the interaction of the two solutions Smart Search and Data Reduction Framework. Using Smart Search, we determine which tables or table fields contain data of the specialized objects to be deleted. In this search, both standard tables and customer extensions are taken into account. With the Smart Search, we thus considerably accelerate the creation of the deletion concepts. Before the actual deletion process, our data reduction framework checks whether the deletion can be carried out – once from a business perspective, e.g. there are still ongoing business activities or business dependencies, and once from a technical perspective. Business objects that are not identified as deletable are placed in a processing cockpit for verification and assigned to the correct business department employee. All deletable data objects are first archived with high performance and then physically deleted from the system. Sophisticated indexing logic enables convenient searching and reloading of deleted data objects from the archive – just in case, of course.

By using Smart Search to quickly locate deletion-relevant data in the system and the Data Reduction Framework for auditing, archiving and deletion, the bank was able to clean up the SAP Bank Analyzer system with little implementation time and effort - and thus achieve significant added value for the future operation of the HANA platform:
